Save research to Notion

Connect your Notion workspace and keep a tagged research library of the articles and answers you save, with fixes for anything that goes wrong.

What it does

Connecting Notion gives you a research library in your own Notion workspace. PhysioKeys creates one database called PhysioKeys Research Library on a page you choose and adds a page to it for each article or answer you save, with its reference details, links and suggested tags.

  • Save one article at a time, with an optional note.
  • Turn on automatic saving, so every article you add to Saved goes to Notion too.
  • Copy the articles already in your Saved library, in the background.
  • Save a Research Chat answer with its references.

Each page is a snapshot: it is copied once and does not change when PhysioKeys does. Saving to Notion is free on every plan and does not use AI credits.

The short version

From nothing to your first saved article. Each step is explained in full below.

  1. Connect Notion. In PhysioKeys, go to Account, Connected apps, and select Connect Notion. In Notion, choose your workspace, share the regular page you want the library on, and allow access. Notion sends you back to PhysioKeys.
  2. Set up your research library. Under Set up your research library, select Choose a page, pick the page you shared (or paste its link and select Use this page), and select Create library. PhysioKeys creates a database called PhysioKeys Research Library on that page.
  3. Save an article. Open an article's details or open it in your Saved library, select Save to Notion, add a note if you like, and select Save to Notion again. When Notion confirms, the button reads Saved to Notion and offers Open in Notion.

Before you start

  • A PhysioKeys account, signed in.
  • A Notion account, and a workspace where you can add connections. Some work and school workspaces only let admins do this; if you cannot, ask your admin or use a personal workspace.
  • A regular Notion page to hold the library, for example one called “Research”. It must not be a database, and it is best left empty.

Connecting Notion is separate from how you sign in to PhysioKeys. It does not change your PhysioKeys login.

Connect Notion

  1. Go to Account › Connected apps and find the Notion section.
  2. Select Connect Notion. Notion opens in the same tab.
  3. Sign in to Notion if asked, choose your workspace, and when Notion asks which pages PhysioKeys can use, select the page you prepared for the library.
  4. Allow access. Notion sends you back to PhysioKeys, which shows Notion is connected.

PhysioKeys can only see the pages you share with it. You can share more later from a page’s •••Connections menu in Notion.

Set up your library

  1. In the Notion section, under Set up your research library, select Choose a page.
  2. Search for the page you shared and select it. If it is not listed, paste its link into Or paste the page’s link (in Notion: ShareCopy link) and select Use this page.
  3. Check the page name and select Create library.

PhysioKeys creates the database on that page and shows Your library is ready. Select Open in Notion to see it. PhysioKeys changes nothing else in your workspace.

What the library holds

Columns in the research library
ColumnWhat it holds
TitleThe article title, or the question for a saved answer. You can rename this column.
AuthorsThe authors, or “PhysioKeys Research Chat (AI-generated)” for a saved answer.
JournalThe journal.
YearThe year of publication.
DOIThe DOI, when the article has one.
PMIDThe PubMed ID, when the article has one.
PubMed linkA link to the article on PubMed.
DOI linkA link to the publisher through its DOI.
Saved onWhen you saved it to Notion.
PhysioKeys export IDA reference PhysioKeys uses to find the page again and avoid duplicates. Leave it as it is.
SpecialtySuggested specialties: Musculoskeletal, Neurological, Sports, Cardiorespiratory, Paediatrics, Older adults, Pelvic health, Pain, Oncology, Rheumatology, Vestibular.
Study designA suggested study design, such as a randomised controlled trial or a systematic review.
ConditionsSuggested conditions, from PhysioKeys' own list of conditions.
InterventionsSuggested interventions, from PhysioKeys' own list of interventions.
StatusYour reading status: To read, Reading, Done. New pages start at “To read”.
CitationA ready-made citation you can copy.

Each article page also holds the reference, its PubMed and DOI links, the published abstract copied unchanged (an abstract longer than 12,000 characters is shortened, and the page says so and links to the full one), your note if you wrote one, and a short record of when it was saved.

The specialty, study design, condition and intervention tags are suggestions made by fixed rules from the title, abstract and indexing terms, without AI. They can be wrong: change them in Notion whenever you like. You can also add your own columns and views; PhysioKeys only fills the columns above.

Save an article

  1. Open an article’s details from Search, Chat references, the dashboard or Saved, or open it in your Saved library.
  2. Select Save to Notion.
  3. Add a note if you like (up to 2,000 characters). It is saved to the Notion page. Your other PhysioKeys notes are not included.
  4. Select Save to Notion again. When Notion confirms, the button reads Saved to Notion and offers Open in Notion.

Saving the same article again does not make a duplicate: it says the article is already in your library. If you deleted its page in Notion, PhysioKeys tells you and offers Save a new copy.

Save to Notion automatically

Once your library is ready, the Notion section shows Also save to Notion when I save an article. Turn it on and every article you newly add to Saved, from any Save button or by uploading a PDF for it, is also sent to Notion. A small notice in the corner confirms it, or explains what to do if Notion did not take it. Your PhysioKeys save always stays.

  • Only new saves are sent. Articles already in Saved are not; use the copy below for those.
  • Removing an article from Saved never changes Notion.
  • Articles from sources Notion pages cannot be made from, such as your own submissions, are kept in Saved only.
  • The setting is remembered on your account. A tab that was already open picks up a change when you reload it.

Copy your Saved library

To put the articles already in your Saved library into Notion, select Copy saved articles in the Notion section, read the note, and select Start copying.

Rough time to copy a Saved library
Articles to copyRoughly
10035 minutes
5003 hours
1,0005.5 hours
  • While it runs you see a progress bar, how many are done and the time left, and Stop copying. Articles already copied stay in Notion.
  • Articles already in your library are recognised and skipped quickly, so starting again later only copies what is missing.
  • It covers the articles that were in Saved when you started. With automatic saving on, newer ones go to Notion as you save them.
  • When it finishes, or stops because of a problem, you also get a note in the notifications bell, kept for 14 days. It summarises what was copied, already in Notion, skipped, not confirmed, or could not be copied.
  • If it stops because of a problem, the Notion section says why and offers Resume copying once you have fixed it. For example: “The copy stopped because PhysioKeys lost access to your library. Share it again in Notion, then resume.”

Save a Research Chat answer

When you are signed in, each Research Chat answer has Save to Notion next to Save to note. The answer is saved as one page in the same library:

  • A clear label that it is an AI-generated answer, grounded in its references, to check before using in practice.
  • Your question, and the answer with its headings, lists and tables.
  • The numbered references with PubMed links, matching the numbers in the answer (up to 40).
  • Your note, if you add one, and a link back to the conversation in PhysioKeys.

Saved answers have a speech-bubble icon, and their Authors column reads “PhysioKeys Research Chat (AI-generated)”, so you can filter them in or out. Tables keep up to 60 rows as a Notion table and continue as text after that. A very long answer keeps its formatting as far as Notion allows and continues as plain text. Text beyond 60,000 characters is not copied; the page says so and links back to the conversation. Links written inside the answer are kept as text, not made clickable.

Regenerating an answer replaces it. Save the version you want to keep.

What it does not do

  • It is one-way. Pages are copied once. Edits in Notion do not come back to PhysioKeys, and changes in PhysioKeys do not update Notion.
  • It never deletes. Removing an article from Saved, disconnecting, or deleting your PhysioKeys account leaves your Notion pages where they are.
  • One workspace and one library. Your account connects to one Notion workspace and saves into one library at a time. It cannot save into a database you made yourself.
  • No PDFs or full text. Pages hold the reference, links and the published abstract, not uploaded PDFs or full papers. Your PhysioKeys notes and tags are not copied, except the note you type when saving.
  • Limits. There are short limits on new saves and on setup steps, and a monthly limit across PhysioKeys. When one is reached, PhysioKeys says how long to wait; a running copy pauses and carries on by itself.
  • Notion’s own limits. A free Notion workspace has a block limit. When it is full, Notion refuses new pages until you make space or upgrade.

Troubleshooting

Most problems show a message in PhysioKeys. Find yours below. The Notion section in Account › Connected apps always shows the current state of your connection and library, with a button that looks again without changing anything: Check library when it is ready, Check again when it needs attention, and Check setup while a new library is being confirmed.

Messages and what to do
ProblemYou seeWhat to do
Connecting fails“Notion didn't confirm the connection. Please try connecting again.”The connection link expired, was opened in another browser, or was cancelled in Notion. Select Connect Notion again in the same browser and finish the steps without closing the tab.
Page not accepted“PhysioKeys can't use that page. It must be a regular Notion page (not a database) that you've shared with PhysioKeys: open it in Notion, add PhysioKeys from the page menu under Connections, check it isn't in the trash, then try again.”Pick a regular Notion page, not a database or a page inside one. In Notion, open the page, open its ••• menu, go to Connections and add PhysioKeys. Then search again or paste the page’s link.
Link not accepted“That doesn't look like a Notion page link. In Notion, open the page and use Share → Copy link, then paste it here.”Use the page’s own link: in Notion, Share › Copy link. A link to a database view, or to a page in someone else’s workspace you have not shared, will not work.
Reconnect needed“Notion asked PhysioKeys to reconnect. Reconnect Notion in Account settings.”Notion ended PhysioKeys’ access, for example after you removed it in Notion or your workspace changed it. Select Reconnect Notion and allow access to the same page again. Your library and saved pages stay as they are.
Library needs attention“Your PhysioKeys Research Library needs attention. Open Account settings to fix it.”Open the Notion section to see the reason. Usually the library was deleted, moved to trash, unshared, or had a column changed. Restore it in Notion and select Check again, or create a new library.
Access lost“PhysioKeys no longer has access to that Notion page. Share it with PhysioKeys again, or reconnect.”Share the library’s page with PhysioKeys again (••• › Connections › PhysioKeys), then select Check again in the Notion section. If that does not help, reconnect Notion.
Library missing“Your PhysioKeys Research Library was moved, deleted, or unshared in Notion.”Restore the library from Notion’s trash, or create a new library on another page. Pages already saved stay where they were.
Columns changed“Your PhysioKeys Research Library's columns were changed in Notion, so we can't save to it safely.”A column PhysioKeys writes to was renamed, removed or changed type. Change it back in Notion (renaming the title column is fine), then select Check again. Or create a new library.
Notion is full“Your Notion workspace has used all the blocks its plan allows, so Notion won't accept new pages. Free up space or upgrade the plan in Notion, then try again.”This is Notion’s own limit on free workspaces. Free up space or upgrade in Notion. Reconnecting will not help.
Saving limit“You've reached the saving limit for now. Please try again later.”A limit was reached. PhysioKeys shows how long to wait next to the message: about a minute for new saves, longer for connecting or setting up a library, and until next month if PhysioKeys’ monthly limit is used up. Try again after that time. A copy of your Saved library waits automatically.
Notion busy“Notion is busy right now. Please try again in a moment.”Notion asked PhysioKeys to slow down. Wait a moment and try again.
Notion not answering“Notion didn't respond. Please try again shortly.”Notion did not answer. Try again shortly. If it keeps happening, check Notion’s own status page.
Answer not found“We couldn't find this answer in your saved conversations. It may have been replaced or deleted. Open it from History and try again.”Regenerating an answer replaces it, so an older copy can no longer be found. Open the conversation from History and save the current answer.
Copy stopped“Your Notion library changed. Start the copy again to use the new library.”You created an updated library while a copy was running. Start the copy again; it now goes to the new library.

I don’t see Notion or Save to Notion at all

Sign in first: Notion is only for signed-in accounts. Until Notion is connected and your library is ready, a Save to Notion button points you to Account › Connected apps instead of saving.

My page isn’t in the list when choosing where the library goes

Notion’s search can take a minute to include a page you just shared. Paste the page’s link instead. If it still is not accepted, the page is probably a database, a page inside a database, in the trash, or not shared with PhysioKeys: create or choose a regular page and add PhysioKeys from its •••Connections menu.

A page is missing in Notion

Open the article in PhysioKeys and select Saved to Notion or Check Notion, then Check status. If you deleted the page, PhysioKeys offers Save a new copy. Also check the filters on your Notion view.

The tags are wrong

They are automatic suggestions. Edit them in Notion; PhysioKeys never overwrites a page you already have.

The copy seems stuck

Progress updates by itself while the Notion section is open. If it says it is waiting, it is paused for a limit or because Notion is not answering, and carries on by itself. If it stopped, the Notion section says why.

Privacy and access

  • PhysioKeys asks Notion only to read and add content, and it can only reach the pages you share with it. It cannot edit or delete your existing pages, and it never asks for your Notion email.
  • Notion’s access key is stored encrypted and is never sent to your browser. PhysioKeys keeps only the identifiers it needs to find your library and avoid duplicates, not copies of your pages.
  • What goes to Notion is the article’s published details and abstract, or your own Research Chat answer, plus any note you type. Do not put patient-identifiable information in a note.

Disconnect

In Account › Connected apps, select Disconnect in the Notion section and confirm. PhysioKeys stops adding pages, stops any copy that is running, and removes its access. Your Notion pages stay where they are. To connect again later, select Connect Notion; if you reconnect to the same workspace, your library is kept. You can also remove PhysioKeys from Notion’s own settings, under your workspace’s connections.

Questions

Does saving to Notion use AI credits?

No. Saving an article, an answer, turning on automatic saving and copying your Saved library are all free and do not call an AI model. The tags on each page are suggested by fixed rules, not by AI.

If I change a page in Notion, does PhysioKeys change too?

No. Each page is a one-way snapshot made when you saved it. Your edits in Notion stay in Notion, and later changes in PhysioKeys do not update the page. Removing an article from Saved in PhysioKeys never deletes anything in Notion.

Why can't I see my Notion page when setting up the library?

The page must be a regular Notion page that you shared with PhysioKeys while connecting, or later from the page's Connections menu. Notion's search can take a minute to show a newly shared page, so if it is missing, paste the page's link instead (in Notion: Share, then Copy link). A database cannot hold the library; create a regular page and use that.

Can I use my own existing Notion database?

No. PhysioKeys creates one database called PhysioKeys Research Library on a page you choose, and saves into that. You can add your own columns and views to it in Notion.

How long does copying my Saved library take?

About 3 new articles a minute, so 100 articles take around 35 minutes and 1,000 take several hours. It runs in the background, so you can keep using PhysioKeys or close the page. Articles already in Notion are skipped quickly.

How do I tell saved answers apart from articles in Notion?

Saved answers have a speech-bubble icon and their Authors column reads PhysioKeys Research Chat (AI-generated). Filter or group your Notion view on the Authors column to separate them.

What happens to my Notion pages if I disconnect or delete my PhysioKeys account?

They stay in your Notion workspace. They are yours. Disconnecting stops PhysioKeys from adding new pages and removes its access, and deleting your PhysioKeys account disconnects Notion first.
